Policies and Procedures
• Appointments
o Arrival
▪ We ask that our clients arrive for their appointment with enough time to be prepared for your appointment to begin at the scheduled time. This means that all paperwork is completed prior to appointment time and allow yourself enough time to get settled, use the restroom, and be ready for your appointment.
▪ Our therapists are expected to be prepared for their client at least 5 minutes prior to the appointment time. This means that the room is ready: sanitized, fresh sheets, and other supplies prepared. The therapist is prepared and settled: intake form and previous appointment notes reviewed, therapist has used the restroom, and is ready for the appointment to begin.
o Late Arrival
▪ If a client is going to be late for their appointment, we ask that you call to inform us as soon as possible. We will honor your appointment up to 15 minutes late, however this time will not be added to the end of your appointment time the appointment will be ended at the regularly scheduled time. If you will be more than 15 minutes late or if you will be less than 15 minutes late but you would rather; your appointment can be rescheduled to the next available appointment time that you and your therapist are available. No show fees will apply in the amount of 100% of the cost of the appointment.
▪ If a therapist is not prepared for an appointment to begin at the appropriate time, we would like to offer our client who has been left waiting 5% off of your appointment fee for that day.
o Cancellation
▪ Appointments can be rescheduled or cancelled by a client without fee up to 48 hours prior to your appointment time.
▪ When a client cancels or reschedules their appointment less than 48 hours but more than 8 hours prior to their appointment time, late cancellation fees will apply in the amount of 50% of the cost of the appointment.
▪ When a client cancels or reschedules less than 8 hours prior to the appointment time, shows up more than 15 minutes late for the appointment, or does not show up for the appointment without calling, no show fees will apply in the amount of 100% of the cost of the appointment.
▪ If a therapist has a need to cancel or reschedule an appointment less than 48 hours but more than 8 hours prior to the client’s appointment, we will offer our client a 10% discount from their next service.
▪ If a therapist has a need to cancel or reschedule an appointment less than 8 hours prior to the appointment time, we will offer our client a 25% discount from their next service.
• Scope of Practice, Informed Consent, Confidentiality, and Intake forms
o Scope of Practice
▪ Essential Health and Wellness employees and provides space for a wide variety of therapists to practice. Our therapists are held to the highest standards with the intention of positively affecting the health and well-being of the client. Licensed massage therapists, energy workers, and other therapists, helpers, and space holders do not diagnose disease or prescribe treatment for medical conditions. Our services are not intended as an alternative for proper medical attention for specific conditions. Please refer to a medical doctor of any specific condition which requires medical treatment.
o Informed Consent
▪ Prior to each session with a therapist or provider at Essential Health and Wellness, a discussion regarding the plan for the session will take place verbally between the therapist and client. If at any point of time before or during the appointment something outside of that predetermined plan takes place either party is encouraged to stop or pause the session to discuss.
▪ Prior to a client’s first appointment at Essential Health and Wellness and or the first of a type of service provided the client will sign an informed consent, waiver, release of liability, and assumption of risk. This form will be updated annually.
o Intake forms
▪ It is the responsibility of our client to provide truthful and complete information on the intake forms that are completed prior to your session. It is important for our therapists and providers to have this information to be aware of contraindications and cautions that should be taken during your session.
▪ There are some conditions that will require a physician release prior to receiving services.
▪ Intake forms will be updated annually, or can be updated more often if a client experiences a change in their condition or a new condition that needs to be reported. It will be the responsibility of the clinic to ask our clients to update their annual forms and the responsibility of our clients to inform us of changes that need to be noted.
o Confidentiality and Conversation
▪ We treat all of our client conversations and conditions as confidential. As such, we will not discuss your visit with anybody outside of our clinic without your expressed permission.
▪ You may choose to talk with your therapist or provider during your session, all conversation will be guided by the client.
• Comfort, Mutual Respect, Boundaries, and Ethics
o Draping
▪ During all massage, body work, colon hydrotherapy, or other services, in which a client disrobes, clients will remain modestly draped under sheets, blankets, towel, robe, or gown during the entirety of their session.
▪ Therapists are trained in modest draping during the licensure or certification process of their specialty
▪ If a client is uncomfortable with the draping that they are receiving during their session, we encourage you to speak up to your therapist during the session to set comfortable and appropriate boundaries for your draping. A session can be ended at any time at the request of the client. If there is a comfort or boundary issue, a session cost can be reduced or waived.
▪ If a therapist is uncomfortable with the draping, lack there of, intentionally or otherwise by a client the session can be terminated immediately. In this case, the client is responsible for payment in full for the session.
o Inappropriate Behavior
▪ All of the therapists and providers at Essential Health and Wellness are certified, licensed, and trained professional therapeutic providers, and they should be treated as such.
▪ We set a very high standard for respect and boundaries of all individuals associated with our holistic wellness center. This standard of respect and boundaries is expected for therapists, providers, and clients.
▪ If a client feels that they are disrespected or treated inappropriately in any way, we encourage you to speak up to the individual involved or another staff member, or management at Essential Health and Wellness. Sessions can be terminated at any time. We strive to provide a comfortable space for our clients to heal.
▪ If a therapist or provider does not feel comfortable providing services to a client due to inappropriate or disrespectful behavior or language a session can be terminated at anytime and a client can be asked not to return to our holistic wellness clinic for an appointment with that therapist or with any therapist.
o Soliciting a Product or Service
▪ When attending a class, event, or scheduled appointment at Essential Health and Wellness; we have a strict no solicitation policy. If you have a product or service that you would like to advertise or sell, please schedule an appointment with Kate for this purpose.
▪ We are happy to help you grow your business and to connect with people who would benefit from your service or product; but promotion of such will be done in a respectful way so that our clients do not feel bothered or pressured by solicitation while they attend a class, event, or appointment.
• Returns and Refunds
▪ If a service is prepaid, it is refundable or transferable a reschedule up to 48 hours prior to the appointment. After 48 hours, late cancel, and no show fees will be deducted from the prepaid service.
▪ Gift certificates will not have an expiration.
▪ Gift certificates purchased for a specific service, if redeemed after 1 year of the date of purchase, are subject to additional fees if the price of the service has increased since the date of purchase.
▪ Gift certificates are not refundable or redeemable for cash.
▪ Products purchased can be refunded within 14 days of purchase as long as they have not been opened or tampered with in any way.
